Events Operations Senior Executive

HOW YOU WILL LEAD

Boardroom by EMIR is looking for a dynamic and highly organised Events Operations Senior Executive to join our exceptional team. This is a high-impact, Lebanon-based hybrid role that will give you the opportunity to plan, coordinate, and execute high-impact events that engage senior executives, government leaders, and other influential stakeholders across the region.

As part of our elite operations team, you will work closely with internal and external stakeholders to deliver seamless event experiences that align with EMIR’s core values of Trust, Accountability, and High Performance.

HOW YOU WILL CONTRIBUTE

  • Plan and Execute Events:
    Act as the lead for event delivery, managing event timelines, logistics, and operational checklists to ensure seamless execution. Communicate with suppliers and vendors to guarantee timely delivery of required services, and oversee on-site event management, including setup, troubleshooting, and breakdown.
  • Manage Client and Stakeholder Relationships:
    Serve as the primary point of contact for clients during event delivery, ensuring professional and effective communication at all stages. Collect and evaluate post-event feedback to identify areas for improvement and enhance future event experiences. Coordinate follow-up communications and update CRM systems with relevant client information to maintain strong client relationships.
  • Oversee Vendor and Supplier Relations:
    Source, negotiate, and manage contracts with venues, production teams, transport providers, and other suppliers to ensure compliance with event requirements and budgets. Monitor vendor performance to ensure timely delivery, adherence to specifications, and the highest standards of service.
  • Maintain Documentation and Compliance:
    Maintain accurate project plans, event folders, contracts, required permits, and compliance documentation to support effective operations. Prepare detailed post-event reports, including budget reconciliations and lessons learned, to continuously improve operational efficiency and event quality.
  • Leverage Technology to Enhance Operations:
    Use CRM tools, such as HubSpot, to track client interactions, manage event-related data, and ensure follow-up tasks are completed efficiently. Apply AI tools (e.g., ChatGPT) to streamline workflows, improve productivity, and support decision-making during the planning and execution phases.
  • Collaborate Across Teams:
    Partner with internal teams, such as marketing and operations, to ensure alignment on event objectives, branding, and engagement strategies. Work collaboratively to refine processes, streamline onboarding for events, and enhance the overall client experience.
  • Drive Impactful Results:
    Lead with a proactive and solutions-focused mindset, ensuring all events are delivered in alignment with EMIR’s high standards of Trust, Accountability, and High Performance. Adapt quickly to dynamic environments and resolve challenges effectively to deliver exceptional event outcomes.

REQUIRED SKILLS, EDUCATION & EXPERIENCE

  • Experience: A minimum of 5-7 years of experience in B2B or B2C events, with a proven track record of delivering high-quality, high-impact events that meet business goals.
  • Education: Bachelor’s degree in Business Administration, Event Management, or a related field is required.
  • Event Logistics & Planning: Proven expertise in planning, coordinating, and executing high-level events from start to finish, ensuring seamless delivery of all operational aspects.
  • Vendor & Budget Management: Strong skills in sourcing, negotiating, and managing contracts with vendors (e.g., venues, AV/production teams, transport providers) while maintaining strict budget adherence.
  • Project Management Tools: Experience using tools such as Asana, Monday.com, or Trello to track tasks, manage timelines, and ensure project milestones are met.
  • CRM Tools: Proficiency in using CRM platforms (e.g., HubSpot) to manage client information, track interactions, and support post-event follow-ups effectively.
  • AI Tools: Demonstrated ability to leverage AI-powered tools (e.g., ChatGPT, automation platforms) to enhance productivity, streamline workflows, and support decision-making.
  • Executive-Level Engagement: Comfortable and confident when engaging with CEOs and senior executives. Able to manage high-value relationships and deliver professional, client-focused communication at all times.
  • Proactive & Goal-Oriented Mindset: Highly adaptable, proactive, and results-driven, with a strong focus on achieving business objectives and resolving challenges under pressure.
  • Client-Facing Communication: Exceptional interpersonal and communication skills, with the ability to manage executive and VIP stakeholder needs professionally and effectively.
  • Exceptional Communication Skills: Fluent in English, with outstanding written and verbal communication abilities, strong presentation skills, and the interpersonal finesse to influence stakeholders at all levels.
  • Personal Skills: The ability to thrive in fast-paced, dynamic environments. Highly organised, detail-oriented, calm under pressure, and solutions-focused. Must also be a proactive team player, adaptable to change, and able to manage competing priorities effectively.
  • This role may require frequent travel to countries that grant entry based on a valid Schengen or US visa, or to passport holders with visa-free access. Therefore, candidates must hold a valid multiple-entry Schengen or US visa, or a passport that allows visa-free travel to these destinations, to meet the travel requirements of the role.
